FF&E schedule template for interior designers

An FF&E schedule (furniture, fixtures and equipment) is the master list of every item in a project: what it is, where it goes, what it costs and where it is in the ordering process. Download our free template for Excel or Google Sheets, then read on for how to use it.

What goes on an FF&E schedule?

Every loose and fixed item you specify: furniture, lighting, plumbing fixtures, appliances, window treatments, rugs, art and accessories. Finishes like paint and tile often live on a separate finish schedule, but small studios frequently keep them on the same sheet. One row is one item, and items are grouped by room.

How to use an FF&E schedule through a project

  1. Design phase: add items as you select them, with status Specified. Share a client version (without trade prices) for approval.
  2. Approval: mark approved items, then sort by lead time and order the longest ones first.
  3. Procurement: fill in PO number, order date and expected delivery as orders go out. Check every vendor acknowledgment against the schedule; this is where wrong finishes and quantities get caught.
  4. Delivery and install: update status as items arrive and note any damage or backorders.
  5. Close-out: confirm every invoice is paid and keep the schedule as the project record.

When a spreadsheet stops being enough

A spreadsheet works well for one or two projects. As projects multiply, the copy-pasting of photos, prices and links becomes the job. FolioDesk's procurement lists keep orders and invoices by room for every client, next to the spec sheets and mood boards for the same items. You can import this exact template, or the sheet you already use: a Room column becomes rooms automatically.
